Key takeaways
  • A bulk certificate generator turns one spreadsheet of recipients into personalised PDF certificates — here, up to 500 per batch, rendered in your browser in under a minute.
  • Only a Name column is required; Course, Date and an extra line (grade, score, duration) are auto-detected from the header row.
  • Every unlocked certificate carries a unique ID (EKC-XXXX-XXXX-XXXX) and a QR code that resolves on www.eklavvya.com/verify-certificate/, so employers and admissions offices can verify it in seconds.
  • Logos and signatures never leave your device; only the recipient register (name, course, date, issuer) is stored for verification.

What is a bulk certificate generator?

A bulk certificate generator is a tool that merges a list of recipients — typically an Excel or CSV file with names, course titles and dates — into a certificate template and produces one personalised, print-ready PDF per person in a single pass. It replaces Word mail-merge, one-by-one PDF export and manual renaming. This free Eklavvya tool adds what template tools lack: a unique certificate ID and a QR code per certificate, backed by a hosted verification page, so a training certificate, course completion certificate or participation certificate issued today can still be checked years later.

How to generate certificates in bulk from Excel (4 steps)

The whole flow takes about two minutes for a typical cohort: upload, configure, preview, download. No account is needed for the first run.

  1. Upload your Excel / CSV. Use a header row and one recipient per row. Name is the only required column; Course, Date and one extra line (grade, score, hours, rank) are auto-mapped and can be changed in the dropdowns, or set once for the whole batch.
  2. Set the certificate text and branding. Enter your institute or organisation name, choose the title (Completion, Participation, Achievement, Appreciation, Training, Internship or your own), the intro and action lines, the signatory name and designation, and upload a logo and signature image.
  3. Pick a template and preview. Choose Classic (double border), Modern (side band) or Minimal (top bar), set the accent colour and page through the live A4-landscape preview of each recipient's certificate.
  4. Download. Get the first 5 as watermarked samples instantly, or unlock the full batch (up to 500) to download one combined PDF, a ZIP of individual PDFs and a register CSV listing every certificate ID and verification link.

How QR code certificate verification works

Each unlocked certificate gets a random 12-character ID in the form EKC-XXXX-XXXX-XXXX and a QR code that encodes https://www.eklavvya.com/verify-certificate/?c=ID. When the batch is generated, the recipient register (name, course, date, extra line, issuer name and time) is stored on eklavvya.com; scanning the QR — or typing the ID on the verification page — shows that record, marked Valid, Not found or Sample. Because the record is written at generation time, a certificate cannot be edited after the fact without the mismatch showing. Records are retained for 12 months and issuers can request deletion at exam@eklavvya.com. This is a lightweight, registry-style check — similar in spirit to the verification model behind W3C Verifiable Credentials, but with no wallet or software required of the recipient.

Who uses a bulk certificate generator?

Any organisation that certifies people in cohorts rather than one at a time. The common cases across Eklavvya's exam and assessment customers:

  • Training companies & corporate L&D teams — course completion and workshop certificates for every batch, with a verify link HR can check during background verification.
  • Colleges & universities — value-added courses, internships, webinars, NSS/NCC, hackathons and event participation; QR verification supports NAAC/NBA documentation and placement-cell requests.
  • Certification bodies & coaching institutes — achievement, merit and rank certificates after tests or olympiads that third parties need to trust.
  • Event organisers — speaker, volunteer and participant certificates for conferences and competitions.

Templates, branding and what you can customise

Three print-ready A4-landscape layouts ship with the tool: Classic (double border, serif title, italic recipient name), Modern (left accent band, left-aligned layout) and Minimal (thin top bar, generous whitespace). On every template you control the accent colour, organisation name, logo, certificate title, intro and action lines, course, date, an extra line with its label (e.g. "Grade: A"), signatory name and designation, and a signature image. Watermark and sample QR codes are removed when you unlock the batch.

Frequently asked questions

Is the bulk certificate generator free?

Yes. Upload your Excel or CSV, pick a template and preview every certificate free. The first 5 certificates download instantly as watermarked samples; entering your work details unlocks the full batch (up to 500 per run), clean un-watermarked PDFs and hosted QR verification — still free.

What columns does my Excel or CSV need?

Only a Name column is mandatory. Course, Date and one extra line (grade, score, duration, role…) are auto-detected from common header names and can be re-mapped with the dropdowns — or set once for the whole batch. Download the sample CSV to see the layout; .xlsx, .xls and .csv are accepted.

How does QR code certificate verification work?

Every unlocked certificate gets a unique ID (EKC-XXXX-XXXX-XXXX) and a QR code that opens the Eklavvya verification page. Anyone who scans it — an employer, an admissions office, an auditor — sees the recipient, course, issue date and issuer recorded at generation time, so the certificate cannot be edited after the fact.

Is my data uploaded? Where are the PDFs created?

Certificates are rendered in your browser with your logo and signature — those images never leave your device. Only the recipient register (name, course, date, extra field, issuer name) is stored on eklavvya.com so that QR codes can be verified; it is retained for 12 months and you can request deletion at exam@eklavvya.com.

How many certificates can I generate at once?

Up to 500 certificates per batch after unlocking, and you can run as many batches as you need. Before unlocking, the first 5 certificates download as watermarked samples so you can check the layout.

Can I use it for training, internship, event participation or course completion certificates?

Yes. Choose any title — Certificate of Completion, Participation, Achievement, Appreciation, Training, Internship or your own wording — set the intro and action lines, add your organisation name, logo, signatory and signature image, and pick one of three print-ready A4 layouts.

Can I download certificates as individual PDFs?

Yes. After unlocking you can download one combined PDF (one page per recipient) or a ZIP containing an individual PDF per recipient, named with the recipient and certificate ID, plus a register CSV of IDs and verification links.
